The Problem

Managing Point of Sale (POS) assets for a business with over 25 brands and up to 60 SKU come with a lot of challenges. Some of the major challenge Guinness Nigeria had was:

  • Being able to capture real time valuation of inventory item
  • Detailed reporting of item requisition, approval and dispatch records
  • Auto generation of dispatch notes, out of stock items, depreciation and end of life report
  • Image capturing capabilities for new inventory

Before now, the team relied majorly on paper trial with multiple levels of approval which made auditing and reporting cumbersome and time consuming. Item requisition usually takes anywhere between 24hours to 72hours depending who the approvers are and where and their physical locations.

The Brief

Develop a Bespoke App that emulates our workflow that reduces requisition and dispatch time to not more than 3hours. We would desire a dashboard containing high level indicators and ability to periodic reports to relevant stake holders. it would to limit the operational changes as much as possible to reduce need for user training and retraining.

The Solution

With shoestring budget, we began reviewing existing document and process flows. We analysed all the requirements and concluded that a ground up design is most ideal for the scenario. This is because the processes employed at this business unit are continuously evolving and we would need optimum flexibility to respond to these changes when the need arises. Our solution was based on ASP.net platform emulated a conventional ecommerce shopping experience. This all users would not require any major training because they probably used to shopping online. Our solution Inventory Hub was bundled with robust access control and a mix of Automated and manual reporting capabilities.

The Benefits

Since implementing the inventory Hub Automation, has seen its POS inventory management service cycle reduced to as low as one (1) hour as requisition and approval can happen online." Additionally, the business has seen a 24% increase in productivity and a 46% decrease in the man hour requirement for inventory management enabling stake holder to focus more on their core responsibilities.
